Transportation Coordinator

WORK HOURS: Contract. Monday – Friday, will require additional hours on weekends and in the weeks leading up to and during the Festival and Conference. In-Person. No remote opportunities available. Regional applicants are preferred.

COMPENSATION: $715/week

ABOUT US: Austin Film Festival (AFF) furthers the art and craft of filmmaking by inspiring and championing the work of screenwriters, filmmakers, and all artists who use the language of film, television, theatre, and new media to tell a story. AFF is dedicated to providing unique cultural events and services, enhancing public awareness and participation and encouraging long lasting community partnerships. The Austin Film Festival is a not-for-profit 501c3 corporation.

JOB DESCRIPTION: Evaluate and facilitate Festival transportation based on guests’ travel accommodations, Conference needs, Red Carpets and other special events, Audio/Visual needs, lighting equipment, Festival Set-up and Break-down (Venue Logistics and Registration) needs and other circumstances determined by the Executive Director, Conference Director, Conference Coordinator, Development Director, and Film Department.

ENVIRONMENT: While working for this critically recognized organization, applicants are expected to be able to work efficiently and professionally in a fast-paced, team-oriented production environment. In such an environment, the ability to work well under pressure, excellent communication skills and intense organizational skills are a must.

RESPONSIBILITIES:

The responsibilities of the Transportation Coordinator include but are not limited to:

Work with the Volunteer, Conference, and Film Departments for determining driving needs and schedules
Recruit, train and oversee scheduling of Transportation volunteers/interns
Collect the necessary documentation to obtain driving records for all drivers
Must perform one test drive with each driver that has not driven with the Festival in the past
Manage and dispatch the team of qualified drivers for all Festival needs
Organizing and providing necessary materials such as maps, contact lists and relevant communication devices for drivers
Act as the sole scheduler for all Festival vehicles and needs (SUVs, vans, shuttles)
Check vehicles (cars, SUVs, vans, shuttles) out at the end of shifts, usually around 1:30am-2:00am
Book and coordinate shuttle bus transportation for Festival events and parties, such as the Film Texas BBQ Party
Inquire and coordinate any towing needs during the Festival
Coordinate all airport logistics including lane closures and greeting desk at Austin-Bergstrom International Airport
Work directly Conference Coordinator with travel and hotel information for all the Conference guests and panelists (150-200)
Coordinate the transportation for Red Carpet film talent and their guest(s)
Creating Weekly Status Reports and reporting to the Executive Director regarding updates
Attending AFF Staff Meetings
Set weekly timeline meetings with Managing Director
Adhering to and completing a predetermined timeline
Providing exemplary customer service
Providing wrap up and completion materials
Commitment to the AFF Mission Statement

QUALIFICATIONS:

Strong analytical and problem-solving skills
Risk assessment and crisis management skills
Demonstrate great leadership skills at all times
Excellent oral and written communication skills, as well as interpersonal skills.
Experience managing and effectively communicating to large groups of people
Quick Learner and highly adaptable to changing environment and situations
Must be able to function on little sleep and high stress situations
Highly organized both physically and mentally
Microsoft Office skills required
Must be very efficient at using Microsoft Excel (efficient enough to solve most planning and logistic problems with Excel rather than using it only as chart)
Understanding of basic insurance policies and guidelines regarding vehicles and drivers
Extensive customer service experience
Must have the ability to prioritize, adapt and delegate in high stress situations
Must exercise patience and remain level-headed under stress
Must be over the age of 25
Must provide driving record and proof of insurance
Must be available during the Austin Film Festival which takes place October 26 – November 2, 2023
