Registration Director (Austin Film Festival)

POSITION: Registration Director
HIRE DATES: August 1st – December 1st
WORK HOURS: Contract. 40 hrs/week. Monday – Friday, will require additional hours on weekends and in the weeks leading up to and during the Festival and Conference. In-Person. No remote opportunities available. Local applicants are preferred.
REPORTS TO: Executive Director
COMPENSATION: $795/week

ABOUT US: Austin Film Festival (AFF) furthers the art and craft of filmmaking by inspiring and championing the work of screenwriters, filmmakers, and all artists who use the language of film, television, theatre, and new media to tell a story. AFF is dedicated to providing unique cultural events and services, enhancing public awareness and participation and encouraging long lasting community partnerships. The Austin Film Festival is a not-for-profit 501c3 corporation.

JOB DESCRIPTION: The Registration Director maintains and manages all registration information, including AFF FileMaker Pro database (which includes all Festival orders) and physical check-in materials leading up to and during the Festival.

ENVIRONMENT: While working for this critically recognized organization, applicants are expected to be able to work efficiently and professionally in a fast-paced, team-oriented production environment. In such an environment, the ability to work well under pressure, excellent communication skills and intense organizational skills are a must.

RESONSIBILITIES: The responsibilities of the Registration Director include but are not limited to:
• Manipulate and maintain AFF’s Registration database (FileMaker Pro)
• Register each attendee in the Registration database (Early Registration and Walk-Up Registration included)
• Input extracurricular orders (Merchandise, Summer Camp, etc.)
• Maintain and troubleshoot accounting, as well as process credit cards charges/checks daily
• Organize, project, and manage (where applicable) registrant materials including badges and passes, registration packets, registrant forms, etc.
• Manage the registration team, including Registration Coordinator, interns, and volunteers prior to and during the Festival
• Perform quality control audits to ensure accuracy, completeness, and proper usage of data
• Prepare and manage on-site Registration at AFF’s headquarter hotel and Tech Center
• Review database design and integration of systems
• Work with Microsoft Office, FileMaker Pro, and QuickBooks data to produce reports and complete audits
• Create weekly status reports and attend weekly staff meetings
• Adhere to and complete a predetermined timeline
• Provide exemplary customer service via phone, email, and in person
• Create wrap up report and provide completion materials, including but not limited to auditing Registration pick up and updating Registration Director training materials
• Commitment to the AFF Mission Statement

QUALIFICATIONS:
• *REQUIRED: MUST have intermediate knowledge of database programs and general knowledge of software environments (particularly FileMaker, Access, Excel, Word, etc.)
• Strong understanding of and experience with database management and manipulation
• Basic understanding of accounting processes is preferred
• Basic knowledge of Photoshop preferred
• A self-motivated, self-starter adept at juggling multiple projects
• Strong analytical and problem-solving skills
• Strong written and verbal communication skills, attention to detail, and good follow-through
• Excellent interpersonal skills; able to work independently and still communicate with a team
• Ability to develop and lead a team
• Extensive customer service experience
• Ability to prioritize and delegate in high stress, high volume situations; works well under pressure
• Must have a car
• Must be able to lift at least 25 lbs.
• Microsoft Office skills required
• Bachelor’s Degree preferred
• Must be available during the Austin Film Festival which takes place October 29th – November 5th, 2026
