Volunteer Assistant

POSITION: Volunteer Assistant

HIRE DATES: September 3rd – November 5th

  • Part-time: September 3rd – September 30th
  • Full-time: October 1st – November 5th

WORK HOURS: Contract. Monday – Friday, will require additional hours and weekends in the weeks leading up to and during the Festival and Conference. In-Person. No remote opportunities available. Local applicants are preferred.

REPORTS TO: Volunteer Manager

COMPENSTATION: $3,000 total

ABOUT US: Austin Film Festival (AFF) furthers the art and craft of filmmaking by inspiring and championing the work of screenwriters, filmmakers, and all artists who use the language of film, television, theatre, and new media to tell a story. AFF is dedicated to providing unique cultural events and services, enhancing public awareness and participation and encouraging long lasting community partnerships. The Austin Film Festival is a not-for-profit 501c3 corporation.

JOB DESCRIPTION: The Volunteer Assistant is responsible for assisting in recruitment, scheduling, and the management of large groups of volunteers prior to and during the festival while maintaining constant communication with each department.

ENVIRONMENT: While working for this critically recognized organization, applicants are expected to be able to work efficiently and professionally in a fast-paced, team-oriented production environment. In such an environment, the ability to work well under pressure, excellent communication skills and intense organizational skills are a must.

RESPONSIBILITIES: The responsibilities of the Volunteer Assistant include but are not limited to:

  • Assist Volunteer Manager in recruiting and on-boarding volunteers
  • Assist Volunteer Manager in building and maintain volunteer assignments and schedules
  • Assist with Volunteer Orientations and volunteers’ completion of onboarding paperwork
  • Fill assignments with appropriate number of volunteers; communicate with volunteers regarding their schedule
  • Consistently monitor departments’ volunteer needs, provide updates to departments on the status and number of volunteers confirmed
  • Communicate clearly and consistently with a large volunteer base and staff members
  • Providing support in the planning and organization of the Volunteer Appreciation Party
  • Adhere to and complete a predetermined timeline
  • Provide Weekly Status Reports and attend weekly staff meetings
  • Providing wrap up and completion materials
  • Provide exemplary customer service
  • Commitment to the AFF Mission Statement

QUALIFICATIONS:

  • Must be able to lift at least 25 lbs.
  • Attention to detail and good follow-through
  • Ability to be patient
  • Experience working with and communicating with a team
  • Strong written and verbal communication skills
  • Extensive customer service experience
  • Ability to prioritize, delegate and work well in high stress situations
  • Ability to work within a database
  • Ability to manage a large volume of information
  • Microsoft Office skills required
  • Must be available during the Austin Film Festival which takes place October 23rd – October 30th, 2025
