Position Overview
We are seeking a highly organized, proactive Assistant to support the President of a growing production company. This role blends traditional office responsibilities with personal assistant support to help manage the business/personal demands of an executive with a dynamic schedule. This position requires excellent judgment, communication skills, and the ability to anticipate needs before they arise.

Responsibilities
Manage President’s business and personal calendars, scheduling meetings, appointments, and travel
Coordinate internal and external meetings, including preparation of agendas and materials
Handle email management, correspondence, and follow-up communications
Serve as liaison between President and external relationships
Manage procurement of all office supplies and maintain orderliness of the office
Coordinate business travel arrangements and itineraries
Respond to any queries via phone, email and general correspondence
Support team members when/where needed
Greeting and touring office guests
Shipping and receiving mail/packages
Plan and execute quarterly team retreats
Assist with school communications and calendars
Picking up/dropping off children
Schedule personal appointments and family logistics
Coordinate household vendors and service appointments
Assist with bill tracking and personal paperwork organization
Run priority personal errands during workday hours
Maintain household task lists and reminders

Qualifications
Experience as an Executive Assistant, Personal Assistant, or similar support role
Strong organizational and time-management skills
Excellent written and verbal communication
High degree of discretion and professionalism
Ability to manage multiple priorities in a fast-paced environment
Tech-savvy: comfortable with calendars, email, task apps, and office software
Solutions-oriented and proactive mindset
Comfortable working independently and anticipating needs
Reliable vehicle and valid drivers license
The desire to bring order to chaos and have some fun along the way
