POSITION: Venue Logistics Coordinator

HIRE DATES: August 1st – November 15th

REPORTS TO: Managing Director

COMPENSATION: $9,000

WORK HOURS: July through November, full-time. This position will require additional hours on weekends and in the weeks leading up to and during the Festival and Conference.

ABOUT US: Austin Film Festival furthers the art and craft of filmmaking by inspiring and championing the work of screenwriters, filmmakers, and all artists who use the language of film to tell a story. AFF is dedicated to providing unique cultural events and services, enhancing public awareness and participation and encouraging long lasting community partnerships.

OVERALL JOB DESCRIPTION: The Venue Logistics Coordinator is responsible for organizing and following through with all logistical needs regarding signage and other related rentals at all venues as well as manage a team of volunteers to set up and break down at across all festival and conference locations.

RESPONSIBILITIES: The responsibilities of the Site Coordinator include but are not limited to:
• Securing a tech center, out of which all festival and conference operations will occur during the week of Oct. 29th
• Coordinating and supervising move-in, maintenance, and move-out of the tech center, including internet set up
• Working with the Executive Assistant to fulfill City of Austin requirements
• Acquiring the necessary equipment and rental items prior to the festival including banners, signs, director’s chairs, pipe and drape
• Serving as point person for any conference vendors
• Securing and managing walkies during the festival
• Assigning, programming/signing in/signing out AFF phones-mainly needed for transpo, volunteer team
• Managing and adhering to a set, pre-determined budget
• Working with the sponsorship team to ensure all sponsorship banners are properly on display and sponsor events are properly set up
• Securing the proper number of director’s chairs for panels and Q&A’s at various festival locations
• Adhering to all signage needs for Austin Film Festival TV Show, On Story®
• Coordinating with venues and preferred audio-visual contractor for proper timing of set up and breakdown of equipment
• Working closely with Conference team to ensure conference venues are set up in time for panels to begin
• Provide Conference team with updates on conference set up
• Coordinating all Conference water supply
• Serving as point person for any signage that needs to be created
• Securing a robust team of volunteers of 10-15 volunteers to help execute day to day load-in and outs, set up, and breakdown during the festival
• Completing Weekly Status Reports and attend weekly staff meetings
• Providing exemplary customer service
• Providing wrap up and completion materials, including inventory and invoicing

QUALIFICATIONS:
• Must be able to lift at least 25 lbs.
• Excellent analytical and problem solving skills
• Experience working with, communicating with and managing a team
• Excellent interpersonal skills and an ability to exercise patience
• Extensive customer service experience
• Ability to prioritize/delegate in high stress, high volume situations and deal with last minute changes
• Prior attendance to Austin Film Festival is a plus
