General Description

The Legislative Assistant works within the Office of the Governor (OOG), Legislative Affairs Division and reports to the Director of Legislative Affairs. Performs complex (journey-level) consultative services and technical assistance work. Effectively assists the division directors with a broad range of duties, including but not limited to administrative and legislative duties. During business peaks, may be required to work additional hours as required to get the job done. Additionally, this position is also responsible for providing support and assistance to the Division with administrative functions in connection with travel, scheduling, coordinating conference rooms, and ordering supplies. Will work with staff to help ensure that plans are implemented and deadlines are met, and will coordinate or provide technical assistance to staff as needed. Maintains strict confidentiality as required and works within tight deadlines for competing priorities. Works under general supervision, with moderate latitude for the use of initiative and independent judgment.

Essential Duties

  • Greets and assists visitors, including officials from other agencies.
  • Answers the telephone, routes messages, evaluates and answers questions.
  • Facilitates and coordinates communication with legislators, state officials, agency personnel, etc.
  • Schedules and coordinates meetings/appointments for the Legislative Affairs Division as well as the Director of Budget and Policy; anticipates and prepares information for meetings.
  • Assists with public inquiries regarding pending legislation.
  • Researches and helps provide responses to legislator and staff questions.
  • Works with legislative staff to provide information on issues important to the Governor.
  • Assists with monitoring legislative committee meetings and writing status reports.
  • Assists with tracking legislation; monitors bill status and notify bill analysts.
  • Reviews and organizes mail for the Legislative division; highlights important information.
  • Types letters, memos and reports; proofs and edits for grammar, punctuation, sentence structure and clarity.
  • May develop, schedule, and conduct training.
  • Serves as the Additional Duty Safety Officer for the division.
  • Serves as the Records Management Coordinator for the division.
  • Maintains regular work schedule.
  • Performs all other related duties as assigned.

Minimum Qualifications

  • Graduation from an accredited four-year college or university with a degree in business administration, government, political science or related field;
  • General knowledge of the Texas Legislature;
  • Must be able to work extended hours during legislative session as needed;
  • Three (3) of professional experience.

Note: Experience and education may be substituted for one another on a year-for-year basis.  

Preferred Qualifications:  Advanced knowledge of the legislative process.

Registration, Certification or Licensure

Valid Texas Driver’s License.

Physical Requirements and/or Working Conditions

This classification functions in a standard office environment. Ability to move up to 20 lbs. Ability to drive as needed. Must be able to remain in a stationary position for 50% of the time. Will need to occasionally move about the office to access file cabinets, office machinery, to distribute correspondence, etc. Must be able to communicate and exchange accurate information via phone, computer and in person. Must be able to observe and/or identify visitors and staff entering the building in person and/or via video monitor or call box. Must be able to work hours during a legislative session that include holidays, nights and/or weekends as required.
